Casting & Bookings Coordinator (Junior / Mid-Level)

deVine Voices is a busy talent agency based in Broadstairs in Kent.

(please do not apply if this location is not suitable – this is not a remote working position)

We provide English and international voices across advertising, broadcast, corporate, gaming and digital content.

We are looking for another super addition to our friendly team.

Talent and client liaison, negotiating fees and daily admin coupled with scouting and casting whilst maintaining the bookings system are the main tasks.

Casting & Bookings:

• Liaise with talent and clients via email and telephone
• Work closely with deVine Agents and Director, supporting daily workload
• Book in talent using web-based booking system.
• Fee negotiation
• Casting – use the CMS and deVine website to review and cast talent, matching to client brief.
• Research and scout talent globally, using online resources.
• Provide constructive feedback to talent to improve their profile and auditions.
• Pinpoint and make contacts in various creative industries – advertising, TV, gaming for new business leads.
• Chase up financial info from talent and clients
• Calculate talent fees for quoting
• Create, send and keep tabs on invoices
• Prepare paperwork for accounts
• Debt recovery
• General administration
• Flag up potential issues/delays to the team and Directors proactively
• Test communication and audio recording software with talent/studios/clients before session using Zoom/Teams/Meets/Skype/Logic/Protools/Source Connect

Data Entry & Proofreading:

• Data entry – input talent profiles for the deVine website and record keeping
• Proofread, correct and review content
• Publish content on the website through the dedicated Content Management System (CMS).
• Edit, clean and convert media files
• Organise and add media assets using the CMS and Vimeo
• Contact talent for missing information and keep record of outstanding assets and info
• Track and report mistakes on site
• Compile and share feedback
• File and manage data via folders on outlook and mac system

Requirements:

• Exceptional communicator. Strong English language and writing skills. Warm, friendly but professional manner is required.
• Ability to multitask and prioritise effectively, enabling you to work quickly and accurately.

• Research skills
• Experience of using a booking system and content management system (CMS)
• Computer literate and technically minded, together with a good knowledge of standard software packages – Microsoft Office (Outlook, Word and Excel) with experience of using Apple mac systems.

• Organisation and planning skills
• Proactive problem solver
• Cooperative with good energy, positive outlook with a can-do attitude, willingness to go the extra mile for your team, your talent and your clients

• An interest in the voice-over and production industry

Desirable:

• Experience of working in an agency, casting, translation or media production environment
• Experience of scheduling people/bookings
• Additional language skills
• A good working knowledge of film, television and theatre
• Professional English editorial and grammar skills
• Experience of using social media platforms
